Access control: the moment of truth in the CAE

Access control of external personnel is a growing concern in the field of business activity coordination. It is not uncommon for a prevention manager to confess with concern: "sometimes I meet people in our centres who I don't know who they are".

The control of compliance with the requirements of the CAE at the time of access to the workplace is a key point in the process. It sets a compliance target for contractors and a monitoring target for the main companies. If this is done, it ensures to a large extent the correctness of the process and leaves a record of this correctness, in case it is necessary to consult it in the future.

If you perform access control in conjunction with the use of dokify, you practically achieve autonomous operation of the system. Contractors are responsible for having all documentation "green" at the time of accessing the centre and know that if they don't, their access will usually be denied.

Subsequently, once on site, you can also check an external employee's compliance with requirements, for example by scanning their QR card with a mobile phone. These functionalities are included in our Enterprise licences for companies with the role of owner or principal company at no additional cost, unless it is necessary to develop some integration functionality with other systems involved.

Some of the options available to us are:

• The most basic thing: search for the external employee in dokify and check directly on their dashboard if they are in green. If we click on "Check in", we check in and dokify will know that this person is in the corresponding centre. When they leave, click on "Check out".
• Using a mobile phone and the dokify QR card. The contractor downloads the QR card from dokify and gives it to the employee. This card is valid for all your customer sites that request documentation via dokify. The QR-Card can be read with a mobile phone to check the correctness of the documents and to register the access.
• Stand-alone access control with webcam. This option does not require the intervention of a person to record access. The external employee accesses with his QR card and presents it to a computer camera. The computer reads the card, automatically checks if the employee is in green and communicates the registration or rejection of the same.
• Autonomous access control with an independent device. This option is similar to the previous one, but we use an independent device that reads the card without the need for a computer. This device can be installed in any location as long as we provide it with an internet connection and power supply.
• Opening turnstiles, doors or other physical barriers. Using the previous option, with an independent device, we can act, for example, on the opening of a door. One application scenario is as follows: a driver brings his QR card to a reader to be read, it is checked automatically and in real time on dokify that it is green, and a gate is automatically opened so that he can access the workplace with his vehicle.
• Other options. We can integrate dokify with different devices and use other types of identification other than our QR card. These can be, for example, fingerprints or ID cards.
